Manage, organize, and track tasks efficiently with various views like List, Board, Calendar, Gantt, while customizing filters and statuses.

A task manager is a tool used to organize, manage, and track tasks and projects. It helps individuals and teams to plan, prioritize, and complete their work efficiently.

Viewing and task control modes may be achieved in a couple of ways: List, Board, Calendar, and Gantt Chart.

List

The list is a display of tasks in one list without column distribution.

It's very convenient to work in a list mode, as you can create tasks fast and set the priority, status and assign the task to the employee, without getting inside the task.

Sorting and Filtering in a List View

You can filter tasks in the way you need:

by Assignee, Priority, Statuses, Tags, Completed, Type, Time Spent, Created by;

And sort the tasks by Default, Completed, Name, Status, Tags, Priority, Assignee, Author, Time, Deadline, Started and Reverse;

Tasks Grouping

We can group tasks by Status, Tags, Priority, Assignee and Completed.

When we use grouping by some criteria, we can show/hide the list of tasks if we click on the field with group criteria:

Also, in a "List" mode you already see the task preview information.

Let's have a closer look.

You see the task/subtasks description titles:

If the task card contains subtasks you see there the subtask icon and all subtasks listed. You can easily open any task/subtask for further editing.

If the task contains comments or uploads, you also see it on the preview page:

The tags are shown on the task cards in their colors. If you double-click on the tag cell, you can add more tags to this task:

Here you see the task assignee:

You see the current status of each task:

If the task is getting closer to its due date, it's painted in yellow:

When the task is overdue, it's marked in red to draw your attention:

Also, you see the total hours spent on the current task here:

And here we see the planned time for this task and the time that is overspent:

Next, there is a start day and the due date:

And the task priority is also shown:

And the last column here - shows the author of the task:

Inline Task Editing

Inline Task Editing allows you to make edits directly within a list, without opening each task separately.

  • Click the pencil to edit the task's naming. It works for tasks and subtasks as well:

  • You may change the width of any column by "hold and drag":

  • You can change the data of any column by double click. You may change the assignee, priority, deadline and all other task details by double click :

  • You can highlight the cell and pull it down to apply the value to the bottom cells. It works for all columns and the changes are applied to the task right away:

How to create tasks in "List" mode?

1) To create a task, just type its title and press ā€œenterā€:

If you already have some tasks in your list, the empty field to add a new task is located in the bottom row:

2) Click on the created task and a window opens for further description and settings:

Board

Kanban Board is a task display mode in the form of a board with columns (task statuses) where you place or create relevant tasks. You control them by dragging them from one column to another as you complete the task.

Amploo's Kanban board helps to visualize and control the work on the project, to work more efficiently, monitoring the completion of tasks.

To start working in the Board mode, please select it on the view menu:

And let's have a closer look at the board task preview. It's very convenient to see so much information about the task without opening it.

If the task has some subtasks, it is shown on its card this way:

You may click on the "subtasks icon" to see the list of subtasks:

Also, you may see if the task contains comments or uploaded documents:

And you can also preview how much time has already been spent on this task:

If the priority is set, it is also shown on the preview:

When the task is approaching its due date, it's colored in a yellow frame.

Here you see the due date:

If the deadline is expired, the task will be marked in red:

And you may also see the task's assignee:

The tags are shown on the task cards at the bottom in their colors, if you navigate on the line, you will see the tag's name:

You can also filter tasks by Assignee, Priority, Statuses, Tags, Completed, Type, Time spent, and by Author (Created by):

Board Statuses

The board by default has four columns (statuses). Task status is the name of a certain stage of work on the task.

Backlog - this column is rolled up on the left by default, it can be expanded. Here are all tasks without statuses that have not yet been started. Further, we can take cards (tasks) from this column and move to the desired columns. Also, we can pinch the task with the mouse and move it "up-down" along the column to adjust the order manually.

To do - the task is taken up, assigned to the employee, the deadline is set, etc.

Progress - the task is currently in the process of execution, it is being worked on.

Review - task completed, under review.

You can fully configure and customize column names, and their color, and add new columns (status).

How to add a new column (status) on the Board?

1) Click on "+ Add board"

2) Enter a name choose a color and press enter

3) You can hold the left mouse button and drag the created column in the right place.

Unnecessary columns can be deleted:

If you deleted an unnecessary column and there were tasks in it, they will all fall into the Backlog column.

How to create a task on the Board?

To create a task on the board, select the desired column and click "Add task":

Enter the title for the task. Usually, this is a brief description of the essence of the task, and we press enter and the task appears in the column.

Next, click on it to add a description, comments, attachments, and other settings.

Calendar

The Amploo calendar is a mode of displaying tasks in the form of a calendar. With its help, you can visually view all tasks for which a certain due date is set.

To view tasks in Calendar mode, you need to right-click on the view menu and select Calendar:

The current day is highlighted in grey, for you not be lost:)

What does the colour of tasks in the calendar mean?

The color with which the task is marked in the calendar is determined by its priority:

  • Red - tasks with urgent priority (urgent);

  • Gray - tasks with low priority (low);

  • Green - tasks with medium priority (medium);

  • Yellow - tasks with high priority (high);

We can open any task by clicking on it, and change its priority (and thus the color in the calendar will change), change the assignee, and the deadline, add comments, and make other settings:

If the tasks have a start day and a deadline, this period is also shown in the calendar:

In the calendar, we can move through different months and choose any month:

And we can filter tasks by: Assignee, Priority, Statuses, Tags, Types, Time spent, created by:

We can combine several filters to view the tasks the way we need.

Gantt Chart

A Gantt chart, commonly used in project management, is one of the most popular and useful ways of showing tasks displayed against time. We see the start date and the deadline of each activity on the time frame.

In this way, it is convenient for us to predict the end of the project and follow all its stages.

To view tasks in this mode, you need to right-click on the view menu and select Gantt Chart:

On the left of the chart is a list of the activities(tasks) and along the top is a suitable time scale.

We can change the task execution period on the scale by simply dragging it to the left or right.
