How to work with tasks

Manage tasks effectively by creating tasks and subtasks, tracking time, and synergizing with teammates within Amploo's intuitive interface.

Overview

The separate task window opens when you click on the task posted on a board or in a project's list.

Here you see an individual task within a concrete project, showing key details such as the task name, task description, assignee, priority, comments, tags, status, deadline, subscribers, and much more information and options.

Let's have a closer look at the options we have here.

Bread Crumbs Navigation

It shows the current task location within the hierarchy of a workspace and allows you to navigate back easily to previous sections:

If you work on some task or subtask and want to get back to the project itself, parent task, and so on, just click on it to be moved.

How to copy or move a task between projects?

We can move all tasks between the projects available to us in the workspaces, or copy them.

To move the task, we need to enter it and then select the "folder" icon from the top - move task:

and then choose the path to what project we want to move:

When we do not want to move a task, but just want to have a copy of it, it can be copied to the project we need in the same way:

The task is copied with the task description, comments, and attachments, but without previous settings of the performer, due date and other settings.

How to restrict the task access?

The task can be closed or open, it is regulated by the lock on top:

If the task is closed, only the members of the task have access to it, if the task is open, all employees of this project have access to it.

Here is an example of the private task, we see that it's locked and a notifying message appeared. We also can check members of this task:

You can also subscribe to this task to follow updates on it and add followers manually:

How to save the task to your Dashboard?

You can mark it as a favorite:

and it will appear on our home page in the Favorites section on your Dashboard for quick access:

Removing Tasks

Also, you can delete any task by clicking on the basket above:

Please note, tasks are removed completely, without a chance to restore.

Copying the link to the task

When you need to get the link to the concrete task, just click the Copy task link icon at the top of the task details pane:

To close the task window, just click on the cross right.

How to create a task?

We can create tasks either in List or Board display mode:

1) To create a task, press + and enter the name, hit enter;

2) Click on the created task and a separate window opens for further description and settings:

3) Add a description of the task, a comment, and attachments as needed - we can upload files in the following formats: SVG, PNG, JPG, GIF

4) If the task is big, we can add subtasks, for example.

In subtasks, we can also set the deadline, performer, participants, and more.

5) timers: to start the time of working on the task, start the timer.

Also, we can add additional time manually if necessary, by clicking "Record time":

Choose the employee, the necessary date to record, the start of work and how many hours are spent. You can also leave a comment if it's necessary. And click on "Add timer" to record the time.

If we click on the employee's time spent, we will see the history - how much time was spent and when.

Please note, that if several employees work on the same task and track their time, the records of all employees are shown here as well.

The Task Editor

In the task description and comments, you can not only type some text but you also can:

  • divide your text into paragraphs (Headings);

  • make the text bold/italic and other;

  • choose the background colour;

  • make the bullet or ordered list;

  • add blocks of codes;

  • add videos, audios files;

  • share links;

To see all these options, type the command "/" on the page:

This is very convenient as you can upload a video, for example, directly to your text description and watch it right away from the task, without downloading it to your PC.

It works for the task description and comment section in the same way.

Amploo task editor, supports Embeds, so you can upload some interactive content directly to the task.

Just paste a link to the Figma page, Miro, Youtube, or other services in the task description field or comments and work on it or observe it from Amploo task directly:

When you need to draw a teammate's attention to your comment you may just tag them and they will get a notification.

To mention a person in a comment or task description field, just type @ in a field and choose a teammate related:

You can send reactions in comments to make communication in tasks more vivid:

Also, every comment can be edited or removed:

The Task Structure

On the top right of the task window, we can see the time when it was created and updated:

We see the author of the task - this is the one who created the current task.

Assignee is an employee responsible for the performance of this task.

Project is a project to which this task belongs.

Tags - add certain labels (tags) as needed to filter tasks by certain sections and questions. If you do not have tags prepared, you can create it just from here:

Start date - choose the date when you need to start working on this task.

Deadline - choose the final date for the task.

Priority - choose the priority: low, medium, high, urgent.

Status - provide the status of the task as needed: to do, progress, review, or other. If we work in board mode and give a task status, then this task will move to the corresponding column that corresponds to the given status.

Planned time - how many hours are planned to be spent on this task

Total time - the time we spent on execution. It is taken from the timers both for the tracked time on the timer and for the manually added time.

Members are participants of this task who have access to it, this is necessary if we close a task with a certain restriction on access for specific employees.

Subscribers - participants who will receive notifications about the progress of the task.

Timer

When we start working on a certain task, we turn on the timer to record the time spent:

The timer in the task will synchronize with the main timer on the left. You can track tasks and subtasks separately, all timers will be added and you can check your work time at "My timesheet" section on your Dashboard.

When the task is already completed, we mark it as completed:

If the task consists of many components, it's convenient to create some subtasks inside:

If we click on the subtask list, we can move them in the necessary order:

We can set the due date and assign it to the employee right from here as well:

We can also delete it:

And when we need to check the subtask content, just click on the "View" button to open it:

As you see, subtasks have the same options and settings as tasks, and it's very convenient to work and track them separately:
